«ioi Staff» #

You must be an Écranioi Staff member to record your activity. This is decoupled from users because for clocking — real time in the workshop, or clocking done by the office — it is not necessary to be an authenticated user in the ERP software.

The key point is therefore to define the person concerned in the Écranioi Staff module. Please note that the operator must be active in order to record time. Be sure to enter their unique initials; this is very useful when the calendar is used.

Note: For large companies: you can structure and assign a department to an operator, that department being linked to a division.

Identification #

To identify the person in the case of real-time clocking, you can define identifications that correspond to RFid tags.

Linking an «ioi Staff» to a user #

If the person has to encode their own working time, a user must be linked to an Écranioi Staff. If the person is a mobile operator who records their activity with a smartphone or a tablet, an LP user (for ‘low profile’) is sufficient. If the user performs other operations or processing beyond the use of analytics (BI), a full user is required.

Three methods are possible:

1. Create an Écranioi Staff from a user

   See the Action menu.

   

2. Link a user to an Écranioi Staff.

   See the user field

   

   Do not do this for operators who use real-time clocking. Unless they have a dedicated tablet.

3. Create your Écranioi Staff identifier directly by clicking the icon next to your login email

   

Work (cost) center. («ioi Workcenter») #

Define the cost center of the usual operator if the person works on only one work (cost) center. Please do not specify it by default if the person allocates their work to several work (cost) centers.

The operator cost, the cost center #

You can assign an hourly cost to the person (Écranioi Staff) and an hourly cost to the workstation (Écranioi Workcenter) separate from the operator cost.

Example:

A management consultant has an hourly cost of 62 EUR. No separate workstation cost is specified; the cost of the work will be: operator time x operator hourly cost. By default the system enters an identical time for operator / cost center.

An operator on a 3-axis milling machine: hourly cost of the person 37 EUR, hourly cost of the workstation 30 EUR. The total cost of the worker on the machine will therefore be: Operator time x Hourly cost + Machine time x Machine cost. Very often the times are identical

Note that if you specify a custom operator cost, the Écranioi Staff module becomes confidential. It is however possible to hide this information — see restricted access on a document field. It will also be used to enforce the confidentiality of ‘reporting’ and BI.

Setting up the invoicing of work #

In the work center, Écranioi Workcenter, define the items used for invoicing.

These items must

• Be in virtual mode
• Have a management unit in Hour or in KM (ioi unit)
• Have sales prices for the defined standard catalogue (see « ioi general settgings », or the sales journal)
• And also, if necessary, have customer prices for these items.

Note: in manual clocking, you can take over and enter a specific billing rate or a specific discount.

Define which documents can be clocked on.

Note:

Depending on the type of app chosen, the data to be defined for each clocking differs

• Non-productive:

  • A non-productive ‘work center’, optionally a standard activity

• Customer:

  • Customer + a productive ‘work center’, optionally a standard activity

• Ticket:

  • A ticket + a productive ‘ work center’ , optionally a standard activity

• Sales order:

  • A sales order + an order line containing a productive ‘ work center’ , optionally a standard activity

  • A sales order + a productive ‘ work center’ , optionally a standard activity

    An order line will be created with the associated ‘work center’ with an ordered quantity of zero.

• Dossier:

  • Dossier + a ‘step (where a productive ‘ work center’ is defined) , optionally a standard activity

  • Dossier + a productive ‘ work center’ , optionally a standard activity

    A negative step will be created with the associated ‘work center’ with a required quantity of zero. If there is an open negative step with a ‘work center’, it will be completed.

• Production :

  • Production + a ‘step (where a productive ‘ work center’ is defined) , optionally a standard activity

  • Production + a productive ‘ work center’ , optionally a standard activity

    A negative step will be created with the associated ‘work center’ with a required quantity of zero. If there is an open negative step with a ‘work center’, it will be completed.

Note:

The documents concerned must have active statuses.

This also applies to the ‘Steps’ of dossiers and production, as well as to the order lines.
