ioi POS – General Configuration and Operation

ioi Configuration #

  • Check whether your environment is configured in multi-site mode.
    • This setting is defined in the ioi Enterprise module.

  • Several other configuration screens are available for the POS:

Attention

The printer model does not work via USB — it operates exclusively over Ethernet.

General Configuration #

Available Models #

  • Printer Model
    • Define the printer model first: EPSON.
    • Other brands will be added soon (TSC already available).

Printer and Template Configuration #

Printer Model #

  • Brand
  • Printing technology
  • Number of rows and columns (based on items displayed on screen)
  • IP address and port
  • Linked display model

Attention

All these settings are linked per site.

Receipt Template (ioi Receipt Template) #

  • A different template can be defined for each site.
  • Define the related module: POS → ioi Sales Delivery.
  • Indicate a document reference to test print preview.
  • Paper width and line spacing are automatically retrieved from the printer model.
  • Preview button for quick visualization.
  • A sample receipt is available in the demo database.
  • Receipt translation: not yet available.
  • Template structure:
    • Each line can be edited individually.
    • All database fields can be displayed.

Cash Desk Configuration (ioi Sales → ioi Cash Desk) #

Creating a Cash Desk #

  • Multiple POS can share the same cash desk per site.
  • Possibility to distribute amounts across several desks.
  • Parameters tab:
    • Role groups: define permissions (open, close, withdraw, deposit money).
    • Apply cash rounding 0.05: automatic rounding to 5 cents.
    • Enabled/Disabled payment methods: cash, card, checks, etc.
    • Special checks: meal vouchers, eco-vouchers, gift vouchers (to be confirmed with the client).
  • Cash desk closing: freely configurable according to company preferences.

POS Journal Configuration (ioi Sales → Sales Journal) #

  • Recommendation: create a dedicated journal for POS.
    • POS tickets are also visible in ioi Sales Delivery.
    • A separate journal with its own numbering sequence is recommended.
  • POS tickets can be grouped into a global invoice (daily, weekly, etc.).
    • The invoice can use the same journal as Sales Delivery, depending on the client setup.

Journal Settings – ioi Journal #

  • Prefix and numbering sequence.
  • Default client defined in Cash Desk.
  • Payment terms locked (cash only).
  • Sales POS tab:
    • Certain users may have access to additional discount permissions.
  • Journal route: invoicing through the same journal as ioi Delivery.

Astuce

One invoice per day is recommended to simplify accounting.

POS Profile (ioi Sales POS Profile → ioi Sales) #

  • Define authorized users by:
    • Site
    • Journal
    • Cash Desk
  • Access can also be defined at the store level.

User Management (ioi User) #

  • Assign discount permissions.
  • Configure user badges:
    • Link a badge to a user by scanning it in the corresponding field.
  • The profile is also visible from ioi Sales POS Profile.
  • Create a list of frequently sold items with images.
  • Purpose: speed up the sale of recurring products.

POS Interface (ioi POS) #

Main Features #

  1. Lock the screen using the top button (recommended during cashier absence).
  2. Unlock the screen by scanning the user badge.
  3. Interface optimized for touchscreen use.
  4. Integrated item scanning area.
  5. Visual search via the eye button or through the integrated e-shop.
    • More visual search via e-shop: Client tab → + button with cart.
  6. Modify quantities and prices (depending on user authorization).
  7. The system warns in case of insufficient stock:
    • Delivery not possible if stock is zero.
    • If the item is physically available → adjust stock or use a virtual item.

Astuce

It is recommended to add an early warning when scanning an item.

Ticket Management #

  • Ability to open a new ticket while keeping the previous one in standby mode.
    • Remember to save the pending ticket.
  • The screen is more limited than ioi Sales:
    • No list view.
    • Show Parked button displays other documents.
      • The list is limited to the current user or badge.
  • Always select the customer at the start of the ticket if identified:
    • Prices depend on the selected customer.
    • In case of error → restart the ticket.
    • Example: if the customer requests an invoice, recreate the ticket from the beginning.

Payment and Delivery #

  • **Pay & Deliver**:
    • Opens a popup window showing values linked to the cash desk.
    • Pay now: automatically opens the cash drawer (for all payment types).
  • Payment Activity button: monitors payments.
  • Cash in/out: according to user authorization.
  • Cash desk opening/closing: based on user role.

Payments and Invoicing #

ioi Sales → Payment Movement #

  • Displays all payment movements related to the cash desk.

ioi Sales Batch Invoicing #

  • Enables batch invoicing of POS tickets.
  • Invoicing can be configured based on customer preference.
