Deliveries

Introduction #

You have a high volume of orders and want to ensure reliable deliveries by strictly respecting the quantities to be delivered (compared to the order), while making sure that what is entered by the warehouse operators matches the delivery?

Too many errors occur due to missed picking, counting mistakes, or incorrect data entry compared to the delivery notes being prepared by warehouse staff. Lack of attention is the main cause of errors, but warehouse operators are also often interrupted, which is another frequent source of mistakes.

The Quantity to Prepare mode is a way to secure this process.

Principle #

When preparing a delivery note, instead of having the quantities to deliver already pre-filled from the sales order in the Delivered Qty column, these quantities from the order can be placed in a Qty to Prepare column. The warehouse operator must fill in the Delivered Qty column as they physically pick items from stock.

Delivery will only be possible if there is a match between the Qty to Prepare and Delivered Qty columns.

Order constraint #

All delivered items must first be ordered. A delivery note cannot exist without a link to a customer order. This process is locked.

Activation by journal #

From the sales journal where you want to activate the Quantity to Prepare mode, go to the related Sales Deliveries tab and check the function:

Delivery note without order #

From now on, creating a delivery note with lines not linked to orders will trigger an error message stating that delivery is not possible.

It is impossible to deliver because the lines without a link to an order have a quantity to prepare of 0.

Delivering an order #

• From the ioi Sales Order module, open an order. Here is the detail of an order to deliver:

• The system will ask for confirmation, then offer to create the delivery:

• After creation, a new tab will be available with the delivery to be made. While still in preparation, depending on the situation, the system will highlight problem lines with colors. Here, note the coral color in the Delivered Qty column.

• Here, the quantity is insufficient in the first line (coral color):

• Here, the quantity is too high in the first line (red color):

• When attempting to deliver despite the mismatch, a warning message appears, and the delivery does not proceed:
