Main Features #

Silicon ioi includes an integrated email manager that allows you to connect an email account (Gmail, Outlook, Exchange) in order to:

  • Receive and view your emails directly in the Silicon ioi interface
  • Send emails from Silicon ioi using your existing email address
  • Automatically generate documents from received emails

Setting Up the Email Account #

To connect your account:

  1. Enter your email address
  2. Select your email provider (Gmail, Outlook, etc.)
    • or manually fill in the server address and port

Authentication #

The authentication process depends on the selected provider.

Gmail #

Use the basic authentication method, but replace your password with an application-specific password.\nThis token can be get from your google account by following these steps:

  1. Log in to your Google account: https://accounts.google.com
  2. Go to the Security tab
  3. In the “How you sign in to Google” section, click on 2-Step Verification
  4. If 2FA is not yet enabled, enable it
  5. Return to the 2FA section and click on App Passwords:\nhttps://myaccount.google.com/apppasswords
  6. Generate a new app password
  7. Copy the password and paste it into the Password field in ioi

Outlook / Exchange #

Configuration for Outlook or Exchange can be more complex.\nWe recommend contacting:

  • Your Microsoft reseller
  • Your Exchange administrator

Enabling Incoming/Outgoing Flows #

Make sure to activate the Incoming and/or Outgoing features of your email account settings so that Silicon ioi can send and receive emails properly.

Automating Document Creation from Emails #

Prerequisite #

Ensure the IMAP option is enabled in the Incoming section:\n\n

Setting IMAP Rules #

In the IMAP Details section, you can define your own rules for automated processing:

\nFolder name Field

  • Specifies which folder in your email account should be scanned
  • By default, the INBOX folder is used
  • Silicon ioi will fetch new unread emails from this folder

Astuce

You can add additional folders through your email client interface (e.g., Gmail, Outlook)

Append to Field

  • Allows you to specify the doctype to be generated automatically
  • Each time a new unread email is added to the specified folder, Silicon ioi will create a new document of the selected type

Example:\nIf the “Folder name” field is set to MY TICKETS and the Append to field is set to Ticket, then:

A new ticket will be automatically created for each unread email received in the MY TICKETS folder of this email account.
