There are several ways of importing data into Silicon ioi. The choice of the right tool can easily be made using the tree structure below.

To sum up, there’s a distinction between importing files, importing very little data and importing data to create new documents or, on the contrary, to update existing documents.
File import (file list) #
- Search for
File Listin the search bar, - Click on
Add File, - Choose one of the methods below to “upload” your file, whatever its format.

In this case, the file will be accessible from the root as follows: urldusite/files/file-name.
If the file is to be publicly visible to all Internet users, make it public; otherwise, leave it private:

A file can also be uploaded within certain documents already created using the Add an attachment button, or within the dedicated fields of certain documents, recognizable by the term Attach, as here :


For this second case, the file path will include the type and name of the document to which they have been attached.
Example: for the above case, the path would be:
urldusite/files/web_page/2023/1/home/iois.png
You can find this URL by opening the document in ioi or in the file list.
Reduced import (manual import) #
If you only need to import a small amount of information, doing so manually can be faster than using an import tool. Don’t force yourself to use one if you can make your changes with just a few clicks.
Example: create 3 new documents, each with 4 fields filled in.
Import to create new documents #
Data import tool.
If you don’t meet any of the above conditions and your aim is to create new documents, you’ll use the data import tool.
Example: create15 new customers.
- From the search bar, enter
Data Importto find this tool.

- Select the type of document you want to create,
- Select the type of import you want. Here,
Insert new records, - You will then see these two additional buttons:

Info
Download Template" will generate a blank Excel (or csv) table (or one already populated with your own existing documents) which you can use to obtain the structure to be respected when importing new data.
- You can select only the fields you wish to import and filter the examples.
Attention
Always select mandatory fields.

The pre-filled table will be used to view the expected data structure, whereas the blank table will be the one you actually use to import your data.
Once your table is filled with your new data, use the Attach button seen above to send your file to ioi.
Error types and solutions #
- Unable to match
Testing onlycolumn with a field.
If you’ve followed the above procedure, your columns should have names that the system can recognize. If not, you should see a message like this:

You can use the Map Column button to associate a column with a specific field.
- The data provided is not one of the options available for the field.
In this case, if you have sufficient rights, you can add the required data to Silicon ioi.
Example: a new supplier to which your customer points.
If you can’t, adapt your values with the options available for this field.
- Date formats differ.
Silicon ioi supports all date formats, but will ask you to keep the same one within the same document to avoid conflicts.
Specific errors.
Some fields may return specific errors, whether it’s a start date that must be earlier than an end date, an e-mail or telephone format, or simply a field that only accepts integers. The errors in this case are quite telling and should in themselves lead you to a solution.
Import to modify existing documents #
Data import (update) and mass update tool.
If you have a lot of fields to modify within documents, refer to the point above, but this time with the choice Update existing records.
Start by downloading the template in Excel format, choosing to adopt all existing data and fields. Make your modifications and then reinject your modified Excel.
Please note that in this case, you’ll need to include a column called ID with the names of the various documents to be modified. This only concerns you if you are creating a new Excel. If you have used the previous step, this column should have been created automatically.
If, on the other hand, you only have a few fields to modify, for example, because you’ve decided to publish all your web pages, you’ll need to use the Mass Update tool.

You’ll also find it in the Settings module:


- Select the document type,
- Select the field you want to modify,
- In
Update value, enter the new value (the one you want to appear at the end of this operation), - If you leave it at that, save and press the
Updatebutton, all documents of this type will be modified (within the limit of the number of documents visible at the bottom of the page).

- You can also add conditions to update only those documents that meet the said condition.
Attention
These conditions use “technical” field names and require a special format:

Commas must be replaced by periods,
-
Dates must be written in
yyyy/mm/ddoryyyy-mm-ddformat.
Example conditions:
- Field type int/float :
nomintfloat <= "3"
nomfloat = "2.5" (a comma doesn’t work in this case)
- Date field:
nomdate < "2023-03-15" and nomdate > "2023-03-09" or nomdate = "2023-03-18"
- Datetime field:
nomdatetime = "13-03-2023 17:11:37"
- Data/txt field:
Nomtext != "a text"
