Basic setup

Designed for quick and easy start-up #

When you’re starting a new application from scratch, Silicon ioi is designed to offer a pre-established basic configuration to help you get started quickly and easily.

Attention

It is important to go through this configuration carefully and modify it if necessary before entering any data, as some configurations can no longer be modified once the data has been saved in the system.

Basic configuration #

  • Users

Only the administrator is defined.

  • Roles

A strategic set of roles is predefined.

  • ioi Company

Here you’ll find all the information about your licensed company.

The company ID, company name and VAT number cannot be modified, as they are updated automatically by the license system. If you wish to make changes to this information, please contact your reseller.

Attention

It’s also important to add all the bank accounts you use for your company.

  • ioi Currency

A set of basic currencies is already stored in the system.

Attention

However, please note the following points:

  • To avoid partial currency updates, we recommend deleting unwanted and unnecessary currencies,
  • If you need to use currencies that are not already listed, add them to the system,
  • To maintain an efficient ERP maintenance process, we recommend that you periodically check your currency records.
  • ioi Item unit

A set of basic units is stored in the system.

Attention

  • Delete unwanted or unnecessary units to avoid partial unit updates.
  • NEVER modify drive parameters during start-up. This would have critical effects on the system.
  • Limit access roles to this doctype.
  • ioi Division

A single division is defined: the division has an identifier MN for MAIN DIVISION.

To add other divisions, you will need an additional license. Please refer to the ioi Division doctype.

  • ioi Site

Only one site is defined: The site is MN for MAIN.

Modification process :

  1. Deactivate MN and create new ones, if necessary.
  2. Modify sites in all journals (sales, purchases, warehouses) before deleting the initial MN site.
  3. Modify/delete the initial MN site.
  • Log configuration

A single log is created with identification GENERAL.

You will need additional licenses for a multi-log configuration.

If you plan to use a multi-log configuration in the future, be sure to change the log ID to prepare for this.

Application on : ioi Sales journal, ioi Purchases journal, ioi Warehouses journal, ioi Info journal.

When creating each journal, make sure you pay attention to the prefixes used for the different documents. It is advisable to define an explicit prefix for each document to clearly indicate what type of document it is.

Example:

CVNT for sales order,

OVNT for sales offers,

CACH for purchase orders.

Example:

In a multi-site or multi-department configuration.

CVTB for sales orders in Belgium,

CVTH for sales orders in Holland,

OVTB for sales offers in Belgium,

OVTH for sales offers in Holland,

CATB for purchase orders in Belgium.

It’s also important to check the numbering rules for each journal, especially if you wish to include the year in the numbering. Also make sure you define the appropriate length for each numbering range.

The system will add zeros to the right to complete the numbering length. It is therefore important to define a sufficient length to avoid any confusion or data entry errors.

Attention

Check the range carefully.

Example:

2022000000, (length of 10) gives you a range for 999999 documents per year. 2022010000 (length of 10, period break) gives a range for 9999 documents per period (month).

  • Personnel department

A MAIN department and a SEC department (for second) are defined.

Delete the SEC department if not required.

  • ioi Work center department is defined.

A MAIN department and a SEC department (for second) are defined.

Delete the SEC department if it is not required.
